EPA Basics: How It Works

Why are EPAs now called Apprenticeship Assessments?

You may notice the term "End Point Assessment" being replaced with "Apprenticeship Assessment" across the sector – this reflects a genuine update, not just a change of name.

The government has updated the assessment criteria for apprenticeships so that assessments can now be conducted throughout the apprenticeship, rather than only at the end.

What Makes EPA Different?

Unlike traditional exams or coursework, EPA is designed to assess real workplace competency. It's not just about what apprentices know – it's about what they can do and how they behave professionally in their role.

Key characteristics of EPA:

  • Independent Assessment: Conducted by an EPAO (not your training provider) to ensure fairness
  • Holistic Evaluation: Assesses knowledge, skills, AND behaviours together
  • Work-Based Focus: Tests real-world application, not just theory
  • Multiple Methods: Uses at least 2 different assessment methods per standard
  • Gateway Requirements: Apprentices must meet specific criteria before EPA begins

Who's Involved in EPA?

EPA is a collaborative process involving four key stakeholders, each with distinct responsibilities:

1. The Apprentice

The star of the show! Apprentices prepare throughout their training and demonstrate their competency during EPA. They must engage with mock assessments, complete any required projects or portfolios, and present themselves professionally during assessment.

2. The Employer

Employers support the apprentice's development, confirm gateway readiness, and provide opportunities for apprentices to demonstrate skills in the workplace. They work with training providers to ensure apprentices are prepared.

3. The Training Provider

Training providers deliver the apprenticeship programme, prepare apprentices for EPA, and work with the EPAO to coordinate assessment logistics. They ensure apprentices meet gateway requirements before EPA begins.

4. The EPAO (End Point Assessment Organisation)

Independent organisations like Good2Go Awards conduct the actual assessment, ensuring consistency and impartiality. EPAOs provide assessment materials, assign qualified assessors, grade performance, and issue apprenticeship certificates.

What is "Gateway"?

Gateway is the critical decision point where the employer and training provider jointly confirm the apprentice is ready for EPA. It's not an assessment itself – it's a quality checkpoint.

Typical Gateway Requirements include:

  • Achievement of English and maths qualifications (as specified in the standard)
  • Completion of any required portfolio or project work
  • Employer confirmation of occupational competency
  • Training provider confirmation of readiness
  • Submission of any advance materials required for EPA

Once gateway is passed, the EPAO schedules the EPA. There's typically a "pause" period between gateway and the actual EPA to allow for scheduling and final preparation.

How is EPA Graded?

All apprenticeships use standardized grading terminology to recognize different levels of performance:

Official Grading Structure:

  • Fail – Occupational competence not demonstrated
  • Pass – Full occupational competence achieved
  • Merit – Higher level of proficiency demonstrated
  • Distinction – Exceptional performance across the standard

Key Grading Principles:

  • Apprenticeships must have at least one grade above pass (Merit or Distinction)
  • Pass represents full occupational competence – you're job-ready
  • Higher grades recognize greater proficiency, not just meeting requirements
  • Apprentices must pass ALL assessment methods to achieve an overall pass
  • Failing any one method results in an overall fail
  • Each assessment method has its own grading criteria that contribute to the overall grade

Important: Apprentices who achieve a pass cannot resit to improve their grade to merit or distinction. Resits and retakes are only available for those who fail.

Common Misconceptions About EPA

Training providers, employers, and apprentices often have questions or assumptions about EPA that aren't quite accurate. Let's clear up some common misconceptions:

All EPAOs are the same

Reality: EPAOs vary significantly in service quality, responsiveness, feedback depth, support materials, and sector expertise.

While all EPAOs must meet regulatory requirements, the experience of working with different organisations can be vastly different. Some provide comprehensive toolkits and pre-EPA support; others offer bare minimum services. Some specialise in specific sectors; others spread resources thinly across hundreds of standards.

What to look for: Sector specialisation, Matrix or other quality accreditations, assessor experience, support materials provided, response times, and feedback quality.

EPA is just a final exam

Reality: EPA is a holistic assessment of workplace competency, not a traditional exam.

While some apprenticeships include knowledge tests, EPA assesses how apprentices apply knowledge in real situations, demonstrate skills practically, and exhibit professional behaviours. It's about proving you can do the job, not just recite information.

Apprentices can't prepare for EPA

Reality: Preparation is essential and makes a huge difference to outcomes.

Apprentices should engage with mock assessments, review assessment criteria, practise with sample materials, and understand what each assessment method involves. Training providers should integrate EPA preparation throughout the apprenticeship, not just in the final weeks.

Portfolio = EPA

Reality: A portfolio is often a gateway requirement or supports another assessment method – it's rarely the EPA itself.

Portfolios provide evidence that underpins professional discussions or demonstrates readiness for gateway. The actual EPA typically involves live assessment through observation, tests, interviews, or presentations where competency is demonstrated in real-time.

Training providers conduct EPA

Reality: EPA must be conducted by an independent EPAO to ensure impartiality.

This is a fundamental principle of the apprenticeship system. Training providers prepare apprentices, but they cannot assess them at EPA. This separation ensures consistency, fairness, and objectivity across all apprentices nationally.

Independence Requirements:

  • EPAOs must be separate from the training provider
  • Assessors cannot be employed by the apprentice's employer
  • Assessors cannot be employed by the training provider
  • No one involved in training or managing the apprentice can be their assessor
  • This ensures all apprentices are judged fairly against the same standard

Minimum two assessment methods = two separate assessments

Reality: Assessment methods can combine multiple components while still counting as one method.

For example, a practical observation followed by questioning counts as one assessment method. Similarly, a project with a presentation and Q&A is one method. The key is that they assess the same set of knowledge, skills, and behaviours together.

This approach strengthens assessment validity while keeping it manageable for apprentices and cost-effective for employers.

Invoices are only raised after the EPA has taken place. You then have 30 days from the invoice date to make payment. We never ask for upfront fees or registration costs.
